Events Committee Role Description & Responsibilities
Purpose of the Events Committee
The Events Committee exists to plan, coordinate, and support church-wide events that strengthen fellowship within the church and create welcoming opportunities for our community to encounter Christ. This team helps ensure that Wellspring’s events are organized with excellence, hospitality, and gospel-centered purpose.
Primary Responsibilities
- Event Planning and Development. The committee collaborates to plan major church-wide events throughout the year, including seasonal celebrations, outreach events, revivals, and special gatherings. This includes brainstorming new ideas, improving existing events, and aligning events with the mission and priorities of Wellspring Church.
- Logistics and Coordination. Members assist with practical planning such as:
- Scheduling and calendar coordination
- Facility preparation and teardown
- Food and hospitality planning
- Décor and event atmosphere
- Equipment needs and room setup
- Vendor and resource coordination (if applicable)
- Volunteer Support and Organization. The committee helps identify volunteer needs for each event, assists in recruiting volunteers, and supports smooth volunteer communication and coordination when needed.
- Communication and Promotion. The committee works with church staff to ensure that event details are clear and well-communicated to the congregation and community through appropriate channels. This includes timelines, expectations, and event readiness.
- Budget Awareness. The committee plans events responsibly with regard to budget guidelines provided by church leadership and assists with wise stewardship of resources.
- Evaluation and Improvement. Following each event, the committee reflects on what worked well and what could improve. This feedback helps refine planning and strengthen future events.
Expectations for Members
- Attend meetings regularly and participate actively
- Serve with a spirit of teamwork and flexibility
- Communicate clearly and follow through on assignments
- Support the mission and leadership of Wellspring Church
- Pray regularly for the ministry of the church and the spiritual impact of each event
Leadership & Accountability
The Events Committee operates under the leadership of a designated chairperson and works in coordination with church staff and the Board as appropriate. Major decisions are made collaboratively in alignment with the overall direction of Wellspring Church.
Time Commitment
Meeting frequency and time commitments vary based on upcoming events and seasons. Members should anticipate one regular meeting per month, with additional planning as needed before major events.
